You can ask us to delete your Kheloge account and the personal information held against it. If you own an academy, you can also ask us to close the academy itself. This page explains how to do both, what is removed, and the few things we are required to keep.
1. How to delete your account
In the Kheloge Partner app. Open More, scroll to the bottom and tap Delete my account. The app shows you what will happen to every business you own and asks what should become of each one before it lets you go on.
Nothing is destroyed on the day you ask. Your account closes 30 days later, and you can stop it at any point in between by opening the same screen and choosing Keep my account. You are signed out everywhere as soon as you ask, so anyone holding a signed-in device loses access immediately.
If you cannot get into the app — you have uninstalled it, lost the phone, or cannot sign in — email [email protected] from the email address on the account, with the subject Delete my account. Include:
- the email address or phone number registered to the account, and
- the name of the business or academy the account belongs to.
Sending the request from the registered address is how we confirm it is really you. If you no longer have access to that mailbox, write from any address and say so — we will verify another way rather than act on an unverified request.
2. What we delete
- Your sign-in credentials. Your password is destroyed and the account can no longer be signed in to.
- Your name, email address and phone number.
- Your membership of any business or academy on the platform.
- Crash and error reports filed from your device. These are already stripped of personal detail when received, and are deleted automatically after 90 days in any case.
- Anything held to verify you for payouts — your PAN, the bank details payouts were sent to, and any identity documents you uploaded, including the files themselves.
Where the records in section 3 are required by law to refer to an account, the account is emptied rather than removed outright. What is left holds no name, no email address, no phone number and no password, and cannot be signed in to or found by searching for you. Your email address is released, so you are free to register again later if you want to.
A request made in the app is carried out automatically 30 days after you make it. A request made by email is actioned within 30 days and confirmed by email when it is done.
3. What we keep, and why
Two things survive the deletion of your account, and neither is a choice we can make differently:
- Financial records — invoices, payments and payout records. Indian tax and accounting law requires these to be retained, and they are kept for the period the law specifies.
- Security audit logs — records of significant actions taken on an account, kept so that a security incident can be investigated after the fact.
4. If you work at an academy you do not own
Deleting your personal account is not the same as closing the academy. Records the academy holds about its athletes — enrolments, attendance, guardians, fees — belong to the academy, not to your individual account, and remain with it after you leave. Deleting your account removes your access, not the academy’s records.
5. If you own an academy
An academy cannot be left with nobody answerable for it, so the app asks what should happen to each one you own before your account can go. There are two answers:
- Hand it to a colleague. Offered to whoever you name — they have to accept, because nobody should be given a business, and the money in it, without agreeing to hold it. If they have not answered by the time your account closes, the academy closes instead. This is only offered where somebody else already belongs to the academy.
- Close it, with the consequences set out below.
If you would rather the academy carried on but you are its only member, invite somebody to it first, then come back and hand it over.
By email, say which you want. We will confirm that you are the owner before doing anything, because this affects everyone who works there and every family on the roll.
Closing an academy also removes the records it holds about its players. That includes:
- every athlete’s name, phone number, email address, date of birth, address and any medical notes recorded about them;
- their guardians’ names and contact details;
- attendance, enrolments, batches, venues and enquiries;
- the academy’s verification file — its PAN, bank details and every identity document uploaded, including the stored files; and
- access for every coach and staff member, immediately.
The financial records described in section 3 remain, because the law requires it. They are kept with nothing attached that identifies a person: an invoice survives, but the athlete it was raised against no longer has a name, a contact detail or a date of birth held against them.
Closing an academy cannot be undone, and the academy cannot be signed in to afterwards.
6. If you are a player or a guardian
The academy holds and controls the records about its athletes and their guardians. Ask the academy directly, or write to us and we will pass your request on. If the academy has already been closed, those records have been removed already.
